External Access to Work Orders

In Connexus, we have a special way of assigning work orders to people outside of your organization, this is done by sending a email with a link to the assigned Work Order. These people are external contracts and are usually found in the technician or supplier module. These people do not and don't require a user license to open and interact with their assigned Work Order.

Doing it this way helps streamline communication and manage work more effectively because you can track work from external contributors in the same place you track work done by team members in your organization.

From the email link external contacts can do the following:

  1. View Assigned Work Orders Only:
    External parties can access only the work orders assigned to them. This prevents visibility into other tasks or sensitive information unrelated to them.

  2. Add Information to Work Orders:

    • They can update their assigned work orders with essential details, such as:
      • Progress updates.
      • Completion notes or descriptions of the work performed.
      • Attachments like images or files related to the job
      • Add invoices
      • Answer procedures
      • Add comments

It replaces old PDF Work Orders and allows external parties to interact with their work orders efficiently without requiring full system access. This means organisations don't need to purchase additional user licensing. 

There is complete transparency as external contacts can provide real-time updates on the progress of their assigned tasks. Upon completion, they can conveniently update important information in one centralized location, including invoices, procedures, timesheets, comments, and before-and-after photos. This streamlined process ensures clear communication and efficient documentation between parties. 

By restricting access to assigned tasks, Connexus ensures that external parties can focus solely on their responsibilities while maintaining the security and integrity of your organization’s data.
